Post Summary 

IT Services is responsible for delivering and
accelerating the digital technologies transformation project portfolio. It
manages digital innovation, creates value through technology, manages the
technical infrastructure and architecture, and supports staff and stakeholders
through this transformation while reducing complexity, cost and risk for the
organisation.

 

The Business Project Lead (BPL) works within the
Project Services team in IT Services to deliver services to internal clients
and manage complex projects and programmes. The Project Services team manages a
number of exciting organisational change projects and programmes, including
large multiyear and complex projects working with external partners and
suppliers.

 

The BPL manages several of these projects,
delivering milestones in time and to budget while managing complex risks and
relationships. The BPL has a central role in every project, ensuring excellent
delivery, either directly providing project management services or by
indirectly by supporting other departments by supplying project management and
business analysis consultancy services.

 

The BPL is key in ensuring projects are set up
correctly as per Project Management Framework and Methodology to ensure smooth
running going forward, and developing the strong relationship with the client,
team leader and other project’s stakeholders. The BPL supports the Project
Services Lead and Head of IT in the delivery of other large programmes,
developing capacity of the staff working on projects, and developing project
management and business analysis skills and competencies.

 

The BPL is a business change agent who leads,
oversees, monitors and drives strategic change projects and initiatives;
supports the business in carrying out improvements, identifying and documenting
their business requirements, implementing new ways of working and brings real
focus, rigour and discipline in how we plan and manage our core business, core
business change projects. Transparency and accuracy in how we report against
our plans and monitor our progress is essential to this purpose. 

 

Project Services and project management is a
dynamic and rapidly developing area. This role requires substantive experience
in project management, business analysis and/or business change experience, who
has the ability to work in complex business environments and who easily engages
both key stakeholders and customers. The position requires a
self-starting, energetic individual who enjoys fresh challenges in an
organisation undergoing increased growth and internationalism. Experience
of a varied technical infrastructure and demanding service environment is
important. 

 

The Business Project Lead reports to the
Project Services Lead:

 

Key Area: Project Management and Business Analyst

  • Set up and
    maintain all project-related processes and systems to ensure effective
    project delivery and business analysis using Project Management Framework
    and Methodology
  • Proactively
    track project progress and monitor deliverables and milestones; identify
    issues and alert stakeholders; update budgets and resource work plans;
  • Liaise with
    Head of IT and Project Services Lead on regular basis on issues that
    require his/her advice and ensure excellent project delivery;
  • Manage
    project team members both internal and external as necessary including
    contracting, writing SOWs, and project performance management;
  • Organise
    and regularly participate in project team meetings to ensure shared
    project approach and understanding of progress;
  • Prepare and
    publish all Project Services and Project Management documents and
    participate in all reviews and governance activities required.
  •  Collaborate
    with the Head of IT and the Project Services Lead to ensure that the
    portfolio of projects is scoped, planned, resourced, funded, procured,
    executed, governed and embedded effectively into the business. This
    involves managing the assigned projects and adhering to governance
    and reporting structures and ensuring that the assigned projects are
    delivered in line with the changing business and user needs. To
    support digital transformation and business change.
  • Ensure
    change projects / programmes are scoped, planned, resourced, funded,
    procured, executed, governed and embedded effectively into the business
    and adhere to all Project Management Framework procedures and best
    practice processes.
  • Be an
    integral part of change projects/ programmes in particular our tendering
    and selection processes ensuring a formal procurement process is followed
    and that the College gets the best solutions aligned to our business,
    financial, technical and users’ needs and strategic priorities. 

 

Reporting Management 

  • Maintain an
    oversight of all assigned projects governed under the project management
    framework, providing reports for stakeholders, and Senior Management
    Group. Provide updates on current projects and for project requests that
    have been submitted for evaluation and assessment through Project Request
    process.  
  • Support the
    definition, review and assessment and prioritisation of projects under the
    portfolio according to changing business and user needs. 
  • Ensure
    reporting of the all assigned projects progress and status uses a common
    format and consistent content, including risk & issues identified and
    actions taken, scope, schedule summary, budgetary expenditure, contract
    status, etc. 
  • Host
    regular project meetings with relevant stakeholders to monitor progression
    of project methodology adherence; project status reports; communications,
    risks and issues and any flags to programme sponsor for remediation. 

 

Support the Project Services Team to drive
continuous improvement and efficiencies

  • Adhere to
    and maintain the project management methodology and best practices and
    processes including training, document templates, reporting and planning
    information for successful project delivery through Project Management
    Framework 
  • Coach,
    mentor and support colleagues, subject matter experts and business
    stakeholders through project management methodologies and tools, business
    change, managing their project goals and deliverables to successful project
    conclusions.

 


Requirements

    deliver on objectives. 
  • A good
    knowledge of project management methodologies and project management
    process areas, such a planning, scheduling, procurement, risk, cost etc
  • A general
    knowledge of business process management, requirements engineering and
    some experience in BPM Tools usage. 
  • Working
    knowledge of project management software.
  •  Highly
    self-motivated with strong customer-service orientation
  • Excellent
    communication, listening and interpersonal skills
  • Keen
